Terms of Service

1. Agreement

By creating a Workdex account or using the Workdex platform ("Service"), you agree to these Terms of Service ("Terms"). If you are using the Service on behalf of a company or organisation, you represent that you have authority to bind that entity to these Terms.

2. The service

Workdex provides a human resources management platform including, but not limited to, employee management, leave tracking, attendance recording, payroll management, document storage, and performance reviews. The features available to you depend on your subscription plan.

3. Your account

• You are responsible for maintaining the confidentiality of your credentials and for all activity that occurs under your account.
• You must provide accurate information when creating your workspace and keep it up to date.
• You must not share your account with others or create accounts on behalf of third parties without their consent.
• Notify us immediately at hello@workdex.io if you suspect unauthorised access to your account.

4. Acceptable use

You agree not to:

• Use the Service for any unlawful purpose or in violation of any applicable law
• Upload content that infringes intellectual property rights
• Attempt to gain unauthorised access to any part of the Service or its infrastructure
• Reverse-engineer, decompile, or disassemble any part of the Service
• Resell or sublicense the Service without prior written consent
• Use the Service to process data in a way that violates applicable data protection laws

5. Your data

You retain full ownership of the data you input into Workdex. By using the Service, you grant us a limited, non-exclusive licence to host, process, and display your data solely to provide the Service to you. We will never sell your data or use it for purposes unrelated to operating Workdex. See our Privacy Policy for full details.

6. Subscription plans and payment

Workdex offers free and paid subscription plans. Plan features and employee limits are described on the pricing page.

• Free plans are provided without charge and may have usage limits (e.g., employee count).
• Paid plans are billed in advance for the billing period selected (monthly or annual).
• Prices are subject to change with 30 days' notice. Existing subscriptions will not be affected until the next renewal.
• We do not offer refunds for partial billing periods, except where required by law.

7. Availability and uptime

We aim to keep Workdex available at all times but make no guarantees of uninterrupted access. We may perform maintenance that temporarily limits access, and will provide reasonable advance notice where possible. Enterprise plans include an uptime SLA as described in your agreement.

8. Termination

You may cancel your account at any time from account settings. We may suspend or terminate your access if you breach these Terms, with or without notice. Upon termination, your data will be retained for 30 days after which it will be permanently deleted, unless a shorter or longer period is required by law.

9. Limitation of liability

To the fullest extent permitted by law, Workdex is provided "as is" without warranties of any kind. We shall not be liable for indirect, incidental, special, or consequential damages arising from your use of the Service, including loss of data or business interruption, even if advised of the possibility of such damages. Our total liability for any claim shall not exceed the amount you paid us in the 12 months preceding the claim.

10. Governing law

These Terms are governed by applicable law. Any disputes shall be resolved through good faith negotiation first. If negotiation fails, disputes shall be submitted to binding arbitration or the courts of the jurisdiction where Workdex is headquartered.

11. Changes to these terms

We may update these Terms from time to time. We will notify you of material changes via email or an in-app announcement at least 14 days before the change takes effect. Continued use of the Service after that date constitutes acceptance of the updated Terms.
